Job Summary:
The Scheduling Coordinator plays a critical role in managing and optimizing the schedules for a team of over 50 inspectors, ensuring that all inspections are carried out efficiently and on time. This role requires a high level of organization, the ability to handle multiple demands from various stakeholders, and a strong understanding of California’s geography to optimize travel routes. The Scheduling Coordinator must also collaborate closely with the sales team, who may schedule up to 100 projects in a single day, ensuring that all projects are appropriately assigned and communicated.
Key Responsibilities:
- Schedule Management: Coordinate and manage the schedules of over inspectors across multiple platforms, ensuring that all inspections are assigned and completed efficiently.
- Route Optimization: Use Google Maps to plan the most efficient routes for inspectors, considering the locations of scheduled inspections and minimizing travel time.
- Multi-Platform Coordination: Maintain and update schedules across three platforms:
- Website for notifying clients about upcoming inspections.
- Google Calendar for updating inspectors on their schedules.
- Google Sheets for internal tracking and communication with office staff.
- Demand Management: Balance and prioritize various scheduling demands from the sales team, clients, and inspectors, ensuring that all needs are met and communicated effectively.
- Collaboration with Sales Team: Work closely with the sales team, who may schedule up to 50 projects daily, to ensure that all projects are scheduled promptly and efficiently.
- Client Communication: Serve as the point of contact for clients regarding scheduling, providing updates, and addressing any scheduling concerns.
- Inspector Coordination: Relay scheduling information to inspectors clearly and promptly, ensuring they are aware of their assignments and any changes.
- Geographical Knowledge: Have a strong understanding of California’s layout to make informed decisions about inspector assignments based on location proximity.
Requirements
- Proven experience in a scheduling or coordination role, preferably in a fast-paced environment.
- Strong organizational skills with the ability to manage multiple demands and prioritize tasks effectively.
- Proficiency in using scheduling tools such as Google Calendar, Google Sheets, and other related platforms.
- Familiarity with Google Maps for route planning and optimization.
- Excellent communication skills, both written and verbal, with the ability to relay information clearly to clients, inspectors, and internal teams.
- Ability to work independently and as part of a team, maintaining a proactive approach to problem-solving.
Preferred Qualifications:
- Experience working in a role that involves managing schedules for a large team.
- Familiarity with California’s geography and transportation routes.
- Ability to adapt to rapidly changing schedules and demands.
- Highly organized & detail-oriented
- Bilingual is a plus, but NOT a requirement {Farisi and/or Spanish}
