Full Job Description

Colliers | Wisconsin, a leading real estate services company is on the lookout for a dynamic and proactive Operations Assistant who possesses exceptional attention to detail and is adept at supporting various operational facets within our IT and HR department.

Key Responsibilities

Information Technology:

  • Support minor technical support issues.
  • Coordinate equipment pickups from multiple locations as required.
  • Support in inventory record-keeping and maintenance.
  • Set up workstations and organize desks for new hires or relocations.
  • Conduct audits to optimize resource allocations effectively.

Human Resources:

  • Assist with organizing and managing company events.
  • Schedule candidates for in-person interviews seamlessly.
  • Assist in real estate license applications and renewals.
  • Collaborate on creating and executing comprehensive onboarding agendas and 90-day plans for new hires.

 


Front Desk Coverage:

  • Dedicated front desk coverage.
  • Learn and execute front desk duties including, but not limited to mail processing, faxing, creating shipping labels, invoice scanning and processing.
  • Handle certified mail responsibilities with efficiency.

 

Administrative Tasks:

  • Oversee billing accuracy and ensure timely payments.
  • Support People Services by submitting expenses, completing credit card requisitions, and updating and creating documents.
  • Assist in scheduling and organizing internal and external meetings, conference calls and appointments, including but not limited to, copying and assembly of documents for distribution.

Requirements

  • Preferably possess prior experience in a similar operational role.
  • Strong technical aptitude.
  • Some local travel may be required.
  • Proficient in Microsoft Office Suite.
  • Strong organizational and multitasking skills.
  • Exceptional communication and interpersonal abilities.
  • Detail-oriented with a proactive problem-solving approach.
  • Capacity to handle confidential information discreetly.
  • Flexibility and adaptability to shifting priorities.
