We are looking for a Maintenance and Asset Coordinator to oversee the maintenance operations, fleet management, gas card usage, and company inventory, including cleaning supplies, office supplies, and other secured items. This role ensures efficient coordination of resources, compliance with policies, and streamlined operations to support the organization.  

Key Responsibilities:  

1. Maintenance Coordination:

- Organize and delegate maintenance tasks to ensure smooth operations.

- Develop preventative maintenance schedules to avoid downtime and ensure optimal functionality.

- Maintain accurate records of maintenance activities and completed repairs.  

2. Fleet and Gas Card Management:  

- Monitor and manage the company's fleet of vehicles, ensuring timely maintenance and inspections.  

- Track gas card assignments and usage to prevent misuse and ensure accountability.  

- Review and analyze gas card transaction reports, addressing discrepancies as needed.  

- Maintain a log of vehicle mileage, repair history, and fuel consumption.  

3. Inventory Management:  

- Maintain and track inventory of cleaning supplies, office supplies, and other materials stored under lock.  

- Implement inventory control measures, including regular audits and usage tracking.  

- Oversee the ordering and replenishment of supplies to maintain optimal stock levels.  

- Ensure secure storage and access control for high-value or sensitive inventory items.  

- Monitor usage trends to forecast demand and prevent shortages or overstocking.  

4. Vendor and Contract Oversight:  

- Work with suppliers to negotiate pricing and manage contracts for inventory, fleet, and maintenance services.  

- Coordinate deliveries of supplies and ensure timely receipt and proper documentation.  

- Evaluate vendor performance to ensure quality and cost-effectiveness.  

5. Policy Enforcement and Compliance:  

- Establish and enforce policies for inventory usage, vehicle operation, and gas card management.  

- Ensure compliance with organizational standards and applicable regulations for storage, maintenance, and transportation.  

- Train employees on inventory access procedures and fleet usage protocols.  

6. Reporting and Analysis:  

- Generate reports on inventory usage, fleet performance, and gas card expenses.  

- Identify trends and propose solutions to improve efficiency and reduce costs.  

- Maintain a clear record-keeping system for supplies, vehicle logs, and fuel usage.  

7. Collaboration and Communication:  

- Work closely with department heads to address maintenance, fleet, and inventory needs. - Serve as the primary contact for inventory access, vehicle assignments, and maintenance requests.  

Requirements

Key Skills and Competencies:  

1. Inventory Management Expertise:  

- Proficiency in tracking, controlling, and auditing inventory levels.  

- Familiarity with inventory management software and tools.  

2. Organizational Skills:  

- Strong ability to coordinate multiple tasks and manage time effectively.  

- Attention to detail in maintaining accurate records and logs.  

3. Fleet and Gas Card Oversight:  

- Knowledge of vehicle maintenance and fleet management best practices.  

- Competence in analyzing fuel card usage and addressing anomalies.  

4. Analytical Thinking:  

- Ability to identify inefficiencies and develop strategies to optimize resources.  

- Proficiency in interpreting data and generating actionable insights.  

5. Security and Compliance:  

- Understanding of secure storage protocols and access control measures.  

- Commitment to enforcing company policies and maintaining confidentiality.  

6. Vendor and Cost Management:  

- Skilled in negotiating with suppliers and ensuring value for money.  

- Experience in managing supplier relationships and contracts.  

7. Communication and Leadership:  

- Strong verbal and written communication for reporting and team coordination. - Leadership skills to guide staff and enforce compliance.  

Qualifications:  

- High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration, Logistics, or related fields preferred).  

- 3+ years of experience in maintenance, fleet management, or inventory control.  

- Proficiency in inventory management and fleet tracking software.  

- Certifications in logistics, inventory control, or fleet management (e.g., CFM, CLM) are a plus. This role combines technical, organizational, and leadership skills to ensure the efficient operation of maintenance activities, vehicle management, and inventory control, with a focus on safeguarding sensitive resources and minimizing operational costs.
