About the Role
The Executive Assistant will be a critical partner to the Chief of Staff and play a pivotal role in ensuring operational excellence and seamless support for our leadership team (particularly the COO, CCO, & SVP of Technology). This role is more than a traditional administrative role–it’s focused on driving meaningful impact by proactively identifying challenges, managing complex projects, and ensuring our leadership team is equipped to focus on what matters most.
The ideal candidate will thrive in a fast-paced, growth-oriented environment and have a natural ability to anticipate needs, streamline processes, and foster collaboration across teams. This role offers the opportunity to work directly with senior leadership in a high-impact role with a dynamic, fun environment.
What You’ll Do
- Strategic Support | Collaborate with the Chief of Staff to tackle high-priority initiatives, identify root challenges, and implement strategic solutions.
- Administrative Excellence | Manage executive calendars, company calendars, coordinate meetings, and arrange complex travel schedules, ensuring the most efficient and effective uses of time and resources.
- Project Management | Independently drive projects and tasks from inception to completion, prioritizing impactful results and maintaining attention to detail.
- Meeting Coordination & Support | Prepare agendas, compile relevant materials, transcribe comprehensive meeting notes, and ensure follow up and completion of action items for meetings and executive engagements.
- Communication | Act as an influential liaison between executives, internal teams, external partners, and the board of directors, fostering effective, concise communication and building strong working relationships.
- Resource Management | Assist with ad hoc financial and HR-related activities, prepare documentation and presentations, supporting the operational needs of the leadership team
- Process Optimization | Identify and implement opportunities to improve workflows, enhance productivity, and streamline administrative processes
Requirements
Who You Are
Our team is full of highly motivated individuals, and we hope that you are too!
- 3+ years of experience in fast-paced, highly detail oriented roles including but not limited to executive administration, legal administration, human resources administration, finance or accounting, etc.
- 3+ years of experience in rapidly growing small-to-medium sized businesses
- Strategic thinker who can dig deeper into challenges, identify root causes, and drive impactful outcomes
- Extremely high level of accuracy and organization in managing tasks and responsibilities
- Takes initiative, anticipates needs, and demonstrates creative, strategic problem-solving abilities
- Excellent interpersonal skills with the ability to build trust quickly and collaborative effectively across various teams
- Proven track record of working independently and making sound decisions
- Willing to travel up to 6 weeks of the year
- Flexible and eager to take on different tasks and challenges as they pop up

- Bachelor’s degree in Business Administration, Human Resources Management, or a related field

Salary Range: $75,000 - $85,000 annually
